Dito’s Google Workspace professional services team migrated 995 user email, calendar, contacts, and 1.95TB email data from Zimbra and conducted a file migration of 26 servers with a total of 3TB of data from on-prem Linux and Windows file storage to Google Workspace.
Challenge
The city government faced a complex IT environment with a reliance on a patchwork of outdated on-premises systems, including Linux, Open Source Desktops, Android tablets, Microsoft Desktops, Windows file storage, and a Zimbra email system. This fragmented infrastructure was costly to maintain and made it difficult to collaborate and access information across departments.
In order to simplify operations and empower employees to work more effectively, the city needed to modernize its technology stack by consolidating to a single, cloud-based platform.
Solution
After evaluating options, the city selected Google Workspace as the strategic platform to unify its technology ecosystem. Recognizing that a change of this magnitude would require careful planning and end-user adoption, Dito executed a phased migration approach, supported by comprehensive training and change management efforts.
The first phase focused on transitioning the email system from Zimbra to Gmail. This was followed by a multi-step migration of file content to Google Drive, ensuring all data was successfully migrated and up-to-date. Throughout the process, the city leveraged Google Workspace Champions – key power users who helped drive adoption and provide ongoing support to their colleagues.
Results
By consolidating systems and moving to Google Workspace, the city was able to significantly streamline its IT infrastructure. The number of required systems was reduced from three (Linux, Windows file storage, and Zimbra) down to a single, integrated platform. This not only lowered overall maintenance and administration costs, but also empowered employees to be more productive and collaborative.
The migration was executed with minimal disruption to critical business processes, ensuring uninterrupted access to data and systems throughout the transition. The extensive change management and user training efforts paid off, with over 100 training sessions delivered and widespread adoption of the new Google Workspace applications.
The move to Google Workspace has modernized the city’s technology capabilities, enabling more efficient and effective service delivery to citizens. With a simplified, cloud-based IT environment, the city can now focus less on managing infrastructure and more on addressing the evolving needs of the community.
