Setting up Google Drive on an iPhone or iPad

After last week’s post featuring a comprehensive guide to Setting Up Google Apps on Android device, we received feedback that we should do the same for iPhone and iPad. To get you started we will outline how to setup and use the Google Drive app on an iphone.

Adding the Google Drive App to iPhone or iPad
To add the Google Drive App to your IOS device search for Google Drive in your App store.
Once you’ve located the app, tap the ‘Free’ button to begin downloading the app.
Find the app on your phone and tap the icon to open it.
The first time you log-in you will be asked to help make Google Drive better. You can choose to either agree to help or decline.

Log-in with your Google Account.
Once you’ve logged in, you will see the following Google Drive Home screen. The content on your Drive App mirrors the Drive content that you access on your computer. Every time you open something with the Drive App, it will update to the latest version of the file.

Creating a New Document
From the Drive Home screen, tap the + button in top right corner.
Tap on the ‘New Document’ button.
Name your new document and tap ‘Create’.


Formatting a Google Doc
Once your document is created, you can begin adding content by double tapping the screen. While composing, you will see the formatting tools on the top of your screen. After selecting the content you want to format simply tap the button to make changes.


Collaboration & Current Viewers
Within a Google Doc on your app you will be able to see the changes that someone else is making in real-time. You will also be able to see who else is viewing the document by clicking on the ‘Current Viewers’ button on the top of the screen.

Sharing a Document
To share a document, tap the Close button on the top left of your screen to return to your list of files. Next, click the ‘Actions’ arrow to the right of the file name.
Once in the actions screen, you can share the document two ways. The first is by scrolling down to the ‘Who Has Access’ section and selecting the +button to the right.

Now you can add people and select their permissions level (Can Edit, Can Comment, Can View).

The second way you can share a document is by clicking the ‘Actions’ button on the top right of your screen and selecting ‘Share’. You can also Rename, Move, and Delete your document from the Actions screen.



Creating a Spreadsheet
From the Google Drive Home screen, press the + button in top right corner.
Tap on the ‘New Spreadsheet’ button. The first time you create a spreadsheet on your app you will receive a few “How To” tips. Once you’ve read them, you can proceed.
Name your new spreadsheet and tap ‘Create’.

Editing Spreadsheets
To edit a spreadsheet, follow these simple instructions from Google Support.
  • Pinch to zoom in and out of your spreadsheet.
  • Single-tap to select a cell. Double-tap to edit a cell.
  • Tap the header of a row or column to select and format it. Long-press and drag to select several rows or columns at a time.
  • Tap and drag the resize handle on a given row or column to resize.
  • Long-press and drag a sheet to move it within your spreadsheet.
  • Tap the arrow next to a given sheet’s name to Delete, Duplicate, Rename, or Freezerows and columns.

Sharing a Spreadsheet
To share your spreadsheet, tap the ‘Close’ button and follow the instructions from the Sharing Google Docs section above. You can share spreadsheets using the same two options discussed above.
Creating a Folder
From your Google Drive Home screen, tap the + button.
Next select ‘New Folder’.
Finally name the folder and tap ‘Create’.

Sharing a Folder
Once the folder is created, you can see who has access to it, when it was last modified and you can share it with colleagues. To share the folder, follow the same process as with sharing a doc or spreadsheet; either by tapping the ‘Actions’ button or by tapping the + plus sign next to ‘Who Has Access’.


Uploading Photos & Videos to a folder
To upload pictures or videos from your phone to a Google Drive folder, open the folder and tap the + button on the top right of your screen.


Select ‘Upload Photo or Video’.
You may be asked to allow Google Drive to access your photos – tap ‘Ok’.
Browse for and select your image or video to upload.
Once you’ve uploaded your photos, you will want to rename them. To do this, tap on the grey arrow to the right of the photo.
Once open, tap on the ‘Actions’ button in the top right of your screen.
Select ‘Rename’. Then enter the name and tap ‘Rename’.

Organizing Files
Staying organized in Google Drive on your iPhone is easy. You can quickly Star important files and move files to new folders to keep all your information organized.

In Drive you can quickly access your important files from the Starred folder on your Google Drive Home screen. You may want to Star the files that you access frequently or that you use regularly as reference files. To add files to that folder, simply navigate to the file in either the file list or its current folder.

Next, tap the Star icon to the left of the file name. You will see it turn from grey to yellow. Now you can easily access this file from your Starred folder
Moving Files to Another Folder
To move a file, simply navigate to that document in your drive and select the ‘Actions’ arrow to the right of the file name.
Once in the ‘Actions’ screen, select ‘Move to…‘ and navigate to the folder you want to move the file to.
